Zoho Payroll (Canada)

Zoho Payroll’s Canadian edition is a supporting-tool candidate for a contractor employing staff. It handles a different decision from estimating a job or scheduling a crew. This profile evaluates the Canadian package from vendor documentation; it is not a hands-on result, a payroll calculation or a guarantee of compliance.

Employee payroll is not subcontractor payment

Start by defining who is paid as an employee and who supplies work through a separate business. Software does not decide that classification for you. A sole operator without employees may not need an employee-payroll subscription at all. A business employing field staff needs a dependable path from approved hours to the pay record, with an accountable person reviewing exceptions. Keep supplier invoices, crew scheduling and employee pay as distinguishable workflows.

Compare the package your pay process needs

Standard lists CAD $20 plus $3 per employee monthly, billed annually; five employees give a $35 monthly equivalent. Professional lists $35 plus $5, giving $60 for five. Confirm checkout, employee-count changes and other charges. Professional adds approvals, off-cycle runs and custom permissions. The 14-day, card-free trial exposes more than Standard’s paid scope.

Do not choose a package solely from its starting price. Decide who prepares, checks and releases payroll, how a missed entry is corrected, and whether an exceptional payment must wait for the next scheduled run. Put each required control beside the vendor’s written package quote. Include setup, adviser time, data cleanup and payment-provider requirements in the operating budget.

A fictional crew-payroll review

Ask for a safe, non-paying demonstration with two fictional hourly staff members and work recorded against Project A and Project B. Correct one duplicated time entry before review. Have a preparer submit the record, a reviewer reject it with a reason, and the preparer resubmit the corrected version. Inspect which changes are logged and which role can approve the result. Show a sample pay stub through a restricted employee account without exposing the other employee’s details.

Have a qualified payroll adviser inspect the assumptions and exceptions, rather than treating a successful screen demonstration as proof of correct pay. Ask how a correction made after processing is handled. Require the vendor to distinguish a preview, an approved run and an actual transfer. Do not enter real Social Insurance Numbers, bank details or employee records into an editorial evaluation, and do not release a real payment just to test the interface.

Keep the Canadian edition in view

The Canadian pricing page identifies all provinces and territories, including Quebec. This listing does not assess US payroll or transfer Canadian prices and features to another edition. Review the actual province, work locations, pay schedules and specialist requirements with the adviser and vendor. Separate generating a report from transmitting it, and identify who remains responsible for reviewing records and resolving failures. A trade tag is an editorial audience label, not certification for union, construction or provincial rules.

Check accounting, mobile access and an exit

The documented Canadian connections include Zoho Books, Zoho Expense and CSG Forte. Trace the payroll journal into the ledger, including a corrected entry. A QuickBooks connection has not been established in this review. Reporting tags and a payroll-cost report do not by themselves establish that hours or employer costs can be allocated accurately between construction jobs; demonstrate that handoff separately.

Employee web and mobile self-service is documented. Test the access your staff actually need; that does not establish complete payroll administration on a phone or offline use. Assign a backup payroll reviewer, inspect role restrictions, and ask for a usable export before a switch. Preserve historical pay records and opening balances through an agreed cutover. Confirm what happens to access and exports after cancellation before moving active payroll.

Next steps for a small employer

Use the demo checklist to separate demonstrated controls from unanswered questions, and enter the complete written package in the cost calculator. If you already use Zoho Books, assess the accounting handoff without assuming the payroll subscription or integration removes adviser review. No rating, guaranteed savings or approved affiliate relationship is claimed.
