Zoho Books is an accounting-first candidate, not a complete replacement for dispatch or formal construction project controls. Its construction documentation discusses invoices, costs and project records; the country-specific pricing table determines which functions a buyer actually receives. It is worth evaluating when the office wants consistent accounting records alongside the operational tools used in the field. A painter and a roofing contractor can both need bookkeeping, but that does not establish a specialized estimating library for either trade. Ask your accountant whether the country edition, reports and data export support the business before judging the software from its invoice design.

Country editions and paid-plan scope

The US table lists an eligible free plan and Standard at USD $20 monthly or $15 per month billed annually. Project profitability and purchase orders appear in Professional rather than Standard. A 14-day trial is advertised. Free-plan eligibility, transaction limits and included users need checking for your actual business, and another country edition can differ. Choose the edition deliberately before importing records. Price additional users, separate applications, payment services and any migration support. A low entry amount is not the total price of the project-costing workflow demonstrated in a trial.

A contractor-accounting pilot

Use a fictional small contractor with two active jobs, one deposit and one supplier bill split between projects. Prepare an estimate and an invoice, then apply a part payment and a credit. Ask the accountant to explain the resulting receivable and bank-reconciliation steps. On the appropriate plan, record a purchase order, a partial delivery and the supplier invoice without counting the commitment and actual expense twice. Enter billable and internal time separately and inspect project profitability against your independent worksheet. Test an incorrect tax code, a duplicate customer and a correction after the period has been reviewed. Finally export records the accountant can genuinely use. The decision is whether the chosen edition preserves your financial meaning, not whether a demonstration produces a colourful report. Keep banking, customer identity and real payment information out of the pilot.

Connections and access boundaries

Verify each named Zoho or third-party connection at the level of records, direction, error handling and paid plan. Suite membership does not establish that every application is included in one subscription. Test the office, field user and accountant with different permissions. Ask whether a worker can submit an expense without seeing confidential financial reports. Check mobile capture, attachments and corrections on your own device. Ask what happens to a queued action after a dropped connection. Plan-dependent support channels and local business hours should be confirmed before relying on them during month-end.

Migration and reconciliation

Create an opening-balance plan with your accountant, including deposits, unpaid invoices, bills and credits. Clean duplicate contacts before importing and validate a representative sample against the old records. Keep the old accounting period read-only during the transition. Establish one authoritative system for invoice numbers and one owner for tax and account mappings. Document how corrections propagate to connected job software. Before subscribing, export the pilot’s contacts, invoices, expenses and reports and check the files independently. Decide how historical attachments remain available after cancellation and avoid cutting over mid-job without an agreed reconciliation.

Alternatives to compare

Compare FreshBooks and QuickBooks Online for the ledger and accountant workflow. Handoff and Jobber address residential scope or contractor quotes rather than every bookkeeping requirement. Country, tax configuration, client limits and record transfers need an actual regional-edition test. Do not infer trade dispatch from a general invoice feature.
