Zoho Payroll (USA)
Zoho Payroll’s US edition is a supporting-tool candidate for a small contractor employing staff, especially when payroll needs to connect with Zoho Books. It is not estimating, dispatch or construction project-management software. This researched overview is based on vendor documentation, not a hands-on result or a guarantee of correct payroll.
Choose the US edition, not the Canadian package
Zoho advertises US payroll across all 50 states, but that does not mean every local tax or construction requirement is handled. Identify the employee’s residence, actual work locations and your employer registrations with a qualified payroll adviser. The Canadian edition has its own package and should not be assessed using US prices or features.
Match the paid plan to your operating controls
Standard starts at USD $29 per organization plus $5 per employee monthly, billed annually. The monthly-billing alternative is $39 plus $6. Professional is $49 plus $7 on annual billing, or $59 plus $8.50 on monthly billing. For five employees, these are $54, $69, $84 and $101.50 respectively, before taxes, add-ons and exceptional charges. Annual figures are monthly equivalents, not promises of cancel-anytime monthly billing.
Standard is the single-state plan. Professional adds multi-state payroll, multiple pay rates, reporting tags, bonus runs, pay-run approvals and custom roles. A crew crossing state lines or needing separate preparer and approver responsibilities should evaluate those controls before choosing a tier. The pricing and subscription documentation describe a 14-day, card-free trial; confirm what remains available on the paid plan after it ends.
Tax coverage has exceptions worth checking
Zoho’s help documentation distinguishes taxes it calculates but does not remit from local taxes the employer must calculate and pay separately. Examples of non-remitted state items include Hawaii SDI and New York SDI and Paid Family Leave Insurance. The vendor also publishes local-tax exclusions. Check the current list against your actual workforce and assign responsibility for exceptions; an all-state availability claim is not a blanket compliance assurance.
Certified payroll, prevailing-wage reporting, union rules, fringe-benefit treatment and subcontractor/1099 payment workflows have not been established by this review. Ask for written confirmation and a demonstration of your exact requirements. Software does not determine employee-versus-independent-contractor classification. A sole operator without employees may not need this employee-payroll product.
A fictional crew-payroll demonstration
Use two fictional hourly employees, a salaried office employee and hours recorded against Project A and Project B. Correct a duplicate time entry before submission, then have a reviewer reject and return a draft pay run. Demonstrate a second work state and a different rate for a different work type on the quoted tier. Inspect the change history, role restrictions and a sample employee pay stub without exposing another person’s details.
This is an evaluation scenario, not an assertion that each workflow has been independently tested. Require the vendor to separate a preview, approval and actual bank transfer. Do not enter real Social Security numbers, employee bank details or live payroll records merely to evaluate screens. Have the adviser review the inputs, exceptions and correction process; do not release a payment as an interface test.
Check the accounting and job-cost handoff
The US integration documentation lists Zoho Books and Zoho Expense. Zoho Books receives payroll journal entries with account mappings. Trace wages, employer costs and liabilities through a sample entry and a correction, rather than checking only whether a connection exists. Reporting tags do not by themselves prove job-level labour costing; require the vendor to show how costs from two projects reach your actual job-cost report. A QuickBooks integration is not established in this review.
Plan funding, cutover and employee access
Confirm your account’s direct-deposit approval deadline, bank verification, funding requirements and holiday timetable. Faster processing depends on eligibility; next-day processing is a paid add-on, not a universal promise. Allow for exceptional payment or amended-return fees in the budget.
Zoho documents a prior-payroll migration process that can pause payroll while history transfers. Agree a cutover date and reconcile year-to-date wages, deductions, benefits and tax balances with the previous provider before relying on the new system. Identify who resolves a rejected import, payment or filing, and ask how records can be exported if you leave.
Employee web and mobile self-service is documented for pay information and related tasks. That is not proof of complete payroll administration on a phone or offline use. Test employee access separately from administrator and adviser permissions, and designate a backup payroll reviewer.
Compare the complete workflow before switching
Compare with the Gusto profile, prepare questions in the demo checklist, and enter the full quoted package in the cost calculator. If you use Zoho Books, test the ledger connection with your adviser. No numerical rating, guaranteed savings or approved affiliate relationship is claimed.
