Roofing software should connect the information used to sell a job with the work needed to deliver it. Start with the handoff from measurement and proposal to materials, crew scheduling, approved changes, and the final invoice. Keep replacement projects, smaller repairs, and commercial bids distinct when evaluating a system.

Choose around your roofing workload

Where to start: a replacement-led business should evaluate the measurement-to-proposal-to-order handoff. A repair-led business should first test intake, photos, return visits and invoicing. A commercial bidder should test drawing takeoff and revisions separately from production administration. Decide which system owns the accepted scope before adding subscriptions around it.

Residential replacements

Use a completed job to trace measurement inputs, estimate quantities, customer options, material orders, crew assignments, and billing. Test whether a revised proposal leaves the accepted version visible. Ask how the production team finds the final material specification without searching through sales messages.

Repairs and return visits

A smaller repair may need quicker intake, property history, photos, a short work order, and a return appointment. Check whether it can be handled without creating unnecessary project administration. If repairs dominate your business, also evaluate the service-work options.

Commercial estimates and project coordination

Bring your own drawing revisions, cost categories, supplier quotations, and staged schedule. Separate the tool that measures quantities from the system that manages approved work. Evaluate purchasing, subcontractor access, progress records, and the billing workflow you actually use, rather than assuming a roofing label covers every requirement.

Requirements to take into every evaluation

  • Measurement provenance: retain the report provider, date, property, included structures and revision. Ask who checks imported quantities and what happens when an estimate is revised after the customer accepts it. Importing a report is not verification of a roof’s condition or quantity accuracy.
  • Purchasing is more than a materials list: demonstrate supplier item matching, ordering units, the selected branch, substitutions, partial delivery and returns. Distinguish a submitted order from supplier confirmation and actual receipt.
  • Sales and production need a common scope: the crew should find the accepted materials, exclusions, work instructions and approved changes, not merely the latest draft proposal. Ask who reviews an order generated from those quantities.
  • Exceptions remain visible: show weather postponement, a missing delivery, an additional approved item and a return task. Each needs an owner and status, with job photos retrievable by property and date.

STACK: a separate takeoff-product comparison

STACK adds another drawing-based quantity and estimating workflow beside Exayard and ArcSite. Keep its Takeoff & Estimating product distinct from Build & Operate. Use a known scale, repeated detail and revised sheet, then reconcile counts and exported prices against an independent estimate. Confirm item/assembly libraries, proposal capabilities, revision behavior and the paid package. A free version or a trial for a different product does not prove access to every estimating feature.

CompanyCam: another connected photo-record option

CompanyCam restores a documentation choice beside CamX. Check the actual connection listed in the vendor integration directory, rather than assuming two photo tools have the same ecosystem. Use a restricted crew account to record an issue, correct the project assignment and export a report with context. Trace the accepted job identifier into the main system. Confirm plan, region, data direction, offline synchronization and third-party fees before connecting live records.

Roofing sales-to-production coordination

JobNimbus is a roofing/exterior CRM and job-management candidate. Its quote-based tiers separate users, boards, automations, locations and support. Compare JobTread and Contractor Foreman when installation budgets and broader project control dominate. Demonstrate the actual measurement provider, supplier branch, account pricing and partial delivery; a supplier logo is not an end-to-end test. Keep the accepted material option distinct from alternates after a weather delay. Insurance supplements and specialist report charges need explicit evidence; these alternatives do not establish complete equivalence to every roofing platform.

Installation budgets, changes and crew records

Projul, JobTread and Contractor Foreman are construction-project candidates. Use an accepted estimate, a supplier delay, a rejected variation and a partial invoice. Check the actual tier for purchasing, commitments, approvals and access; compare annual terms with the same responsibilities and workload. Distinguish estimated cost, committed cost, received work and invoiced cost. A general construction workflow still needs explicit testing of your trade-specific measurements and supplier connections.

Measured quantities and estimating are separate decisions

Exayard evaluates quantities from drawings; ArcSite has a different drawing and field-measurement emphasis. Handoff addresses AI-assisted residential scope and proposals, but its plan-based takeoff is a Scale capability excluded from ordinary trial access. Exayard processing credits, ArcSite proposal tiers and Handoff commitments need separate costing. Use known dimensions and your own labor/material rates; reconcile quantities, revisions and exclusions manually before issuing a proposal. None establishes dispatch, site conditions or measurement accuracy merely by carrying your trade tag.

Documentation without another whole job system

CamX is a project-photo and reporting candidate. Its pricing separates team/seat allowances and reporting capabilities; the vendor also advertises a different CMS as coming soon, which is not part of this listing. BuilderPad combines residential project records with schedules and selections, a different role. Test project matching, restricted access, poor reception, corrections and a usable export with attachments. Do not assume either has the same integrations as other photo products, or that a report alone meets a contractual documentation requirement.

Supporting tools and accountable handoffs

FreshBooks, Zoho Books and QuickBooks Online are accounting-first candidates, not interchangeable trade-estimating engines. Have the accountant reconcile a deposit, approved variation, supplier credit and final invoice in the applicable regional edition. QuickBooks affiliate-program evidence in this audit is Canadian, not proof of US-offer eligibility. Connecteam addresses workforce records, while Jotform and Wix address forms and website intake. Time records are not payroll processing, and collecting an enquiry does not establish dispatch or job costing. Add another subscription only when the main system leaves a demonstrated gap.

Run one roofing job through every demo

Use a fictional replacement project with an existing measurement report, two proposal options, a delayed delivery, and an approved scope change. This is a business-administration test, not a roofing measurement method, installation procedure, insurance assessment, or compliance review.

Prepare the test record: use report revision A and revised report B, two customer material options and one accepted proposal. Add a partially delivered order, a weather delay and a proposed substitution awaiting approval. Ask the vendor to show what changes automatically, what needs review and which original records stay available. Do not place an actual supplier order or treat generated quantities as independently verified measurements.

  1. Create the enquiry: record the property, customer, on-site contact, photos, and measurement source. Show how the estimator retrieves the latest record.
  2. Prepare and approve: build two quote options using your own quantities and cost categories. Revise one item, capture approval, and identify the accepted version.
  3. Plan the order: turn the approved scope into a material list or purchase order. Compare ordered, delivered, and outstanding items; inspect how substitutions are recorded.
  4. Move the schedule: delay a delivery and reassign the crew. Check notifications and whether the field sees the revised specification and appointment.
  5. Record a change: add a customer-approved scope adjustment with supporting photos. Show its effect on committed costs, the budget, and the invoice without overwriting the original approval.
  6. Complete and follow up: record time and supplier costs, issue the remaining invoice, create any return task, and export the photos, approvals, and job history.

Use explicit pass criteria

  • A second employee can identify the accepted proposal and measurement version without asking the salesperson.
  • The order shows the intended supplier, items and quantities, and the office can distinguish requested, confirmed, delivered and outstanding material.
  • A delivery or weather delay leaves a visible next action and updated crew/customer information, rather than only a changed calendar date.
  • The approved extra work can be traced through photos, approval, revised commitments and final invoice; a declined option is not accidentally ordered.
  • Exported records retain meaningful job identifiers so a later employee can retrieve the approvals and photo history.

Test one provider or supplier connection end to end in a demonstration environment, without submitting a real purchase. Mark required but unseen behavior unverified and record who performs each manual handoff. If specialist measurement and ordering are must-haves, do not select a general project app simply because it has more unrelated features.

Price the whole workflow

Count sales, estimating, production, crew, and office access separately. Ask whether suppliers, subcontractors, and customers use paid seats or restricted portals. Separate the main subscription from measurement reports, imagery, takeoff, photo documentation, implementation, training, messaging, and payment charges.

Set up one source of truth for production

  1. Prepare consistent records: map customers, properties, sales stages, supplier items, ordering units and approved proposal templates. Import a small sample and reconcile measurement reports, photos and signed scope against the old archive.
  2. Pilot the handoff: involve sales, estimating, purchasing, the crew lead and invoicing. Use the same fictional replacement with a partial delivery and changed scope; check permissions and notifications before any real customer message or supplier order is sent.
  3. Reconcile active work: agree which application owns each live proposal, order, deposit and production date at cutover. Preserve the old archive, prevent duplicate orders, and assign someone to review items awaiting supplier confirmation or final billing during the pilot.

If the business handles insurance-related projects, include the specific documentation and third-party handoffs it needs in the evaluation. This guide does not verify insurer acceptance or claims processes, and a photo report alone should not be treated as that evidence.

Roofing software questions

Is takeoff software the same as roofing business software?

No. Measuring drawings and preparing quantities is a different task from managing customers, crews, purchasing, and invoices. Decide which record each system owns and test the handoff before adding another subscription.

What should I ask about measurement integrations?

Demonstrate your actual provider and file format. Ask how revisions are identified, who reviews imported quantities, and what happens when the link is unavailable. Do not treat an advertised connection as a guarantee of measurement accuracy.
