List everyone who needs access, including the owner, estimator, project manager, field crew, bookkeeper, and customers. Ask which roles need paid access. Then test an approved change order through budget updates, customer communication, and invoicing. Agree on who will prepare your cost library and import existing records.

Make the decision with your team
For each must-have task, record whether the software can complete it, which plan it requires, and whether your team can repeat it without help. Include setup effort and total recurring cost. A demo that uses your own example is more useful than a generic feature tour.
