Plan boundaries and billing checks
The pricing page separates Essentials, Pro and Advanced and advertises a 14-day trial. The rendered annual Essentials card shows $69 per month, $828 per year, three included users and an additional-user charge. Confirm the currency and monthly alternative directly before budgeting. Checklists, reports and before/after tools appear on Pro, while more AI and customization appear on Advanced. Product-wide marketing descriptions do not establish lowest-tier coverage. Check who needs a paid seat and how subcontractor access differs from employee permissions.
A completion-evidence pilot
Use a fictional repair at two sites for the same customer. Capture an arrival photo, an annotated defect and a completion image, with a separate unfinished item. Ask a second crew member to retrieve the correct site without knowing the photo filename. Move a photo initially placed on the wrong job and inspect the history. Put the field phone into poor reception and test capture, later upload and duplicate handling on the intended device. Ask the office to prepare a report that includes the incomplete item without presenting the whole job as finished. Verify that report order, dates and captions remain correct.
Sharing and AI review
Send a test gallery only to your own review account, not a real customer. Inspect who can open it, whether links expire, whether a forwarded link is accessible and how access is revoked. Confirm what GPS or other metadata becomes visible. If AI captions or summaries are used, deliberately include an ambiguous photo and have a human correct the interpretation. Test whether the approved caption survives export and whether a report can distinguish a suggested task from confirmed work. An automatically generated description is not evidence that a defect was repaired or that an inspection was completed.
Permissions and retention
Check the owner, office, employee and subcontractor roles separately. Remove a user and verify that their job records remain retrievable without leaving their access active. Ask what can be exported in bulk, whether original photos retain metadata and which annotations or reports require a proprietary viewer. Establish retention and deletion rules before collecting real project photographs. Keep identifiable faces, private access details and customer documents out of the initial pilot. Include storage, seat growth, any separate report subscription and the time spent correcting job assignments in the total cost.
Alternatives and decision boundaries
Compare BuilderPad when documentation needs to sit inside a residential project schedule and client portal. Contractor Foreman, JobTread or Projul may already cover enough job records for your process; test their native workflow before buying an additional app. CamX does not become an enterprise audit, inspection certification or complete construction-management solution merely by producing a branded report. Choose it only if the extra documentation work produces a useful, retrievable record without adding another disconnected job list.
