PaintScout is a painting-focused sales and estimating platform with a separate Operations add-on. Evaluate it when a consistent estimate, accepted finish schedule and handoff to the crew matter more than a general-purpose quote template.
Who should evaluate PaintScout?
A solo painter can compare the estimating workflow with a simpler invoicing tool. A business with estimators and several crews should also test what happens after the sale: who owns the next action, where the accepted scope lives and how production sees changes. Our business-size tags describe editorial evaluation use cases, not contractual user limits.
For commercial bids, separately demonstrate your revision, approval and project-document needs. Painting-specific estimating does not establish support for every construction contract, takeoff requirement or accounting process.
Build estimates from your own assumptions
The Sales overview describes production-rate estimating, room dimensions, templates, photos, proposal options, signatures and follow-ups. Use those capabilities to test your own wall, trim, cabinet and preparation items. A vendor’s default production rate is an input to evaluate, not a guaranteed level of crew productivity.
Compare the same room using different preparation and finish assumptions. Check units, coats, excluded surfaces, material basis and labor rates. Ask what happens when the estimator changes a template after an earlier quote has been accepted; the original agreement should remain explainable.
Sales and Operations are different purchases
The pricing page lists Sales at $119/month in USD on monthly billing, or $99/month on annual billing. Operations is a separate add-on, and additional team seats carry a charge. Confirm the included users, billing basis and total for the whole team rather than comparing the Sales headline with another product’s full operating package.
The Operations overview describes connected contacts, leads, jobs, tasks, scheduling and production. Demonstrate the exact package you would buy: a trial or sales demonstration that exposes both modules does not establish what a Sales-only subscription includes. The vendor advertises a 14-day free trial; confirm its scope and end-of-trial terms before enrolling.
Connections do not eliminate the need for reconciliation
PaintScout’s integration directory describes QuickBooks Online invoice export and CompanyCam photo access. It labels several connections, including Jobber and Google Sheets, as Zapier-based. Confirm direction, supported records, plan requirements and third-party charges; do not interpret an integration listing as a native bidirectional connection.
Ask the bookkeeper to demonstrate a corrected invoice, partial payment and failed export. Check who resolves duplicates and what stays in the original system. For phone use, test the browser on your own device; mobile access does not itself establish a native app or offline support.
A useful repaint pilot
- Create a fictional two-room repaint with different preparation requirements, a trim option and a specific product and finish.
- Revise one room’s measurements and inspect the assumptions feeding labor and materials. Compare against your own checked calculation.
- Accept only the selected options. Keep the declined work identifiable and record an approved later addition separately.
- Using the proposed Operations package, hand the accepted scope to a crew, move a visit and assign a return task. Confirm what the crew can and cannot see.
- Prepare the invoice and accounting export, then retrieve the original quote, approvals and photos. Record workarounds as well as successful tasks.
Standardize before automating
Choose maintained service items, rate assumptions and a clear accepted-scope format before importing a large history. Pilot one estimator, a crew lead and the person reconciling invoices. Use fictional contacts so automated follow-ups do not reach real customers. Define how your team reviews rate changes and who can amend an accepted job.
Before switching, reconcile open quotes, deposits and scheduled work. Keep an accessible archive of prior approvals. Ask for a sample import and export, training responsibilities and any optional setup fees; a broad migration promise is not confirmation that every attachment and historical field transfers.
Compare a specialist with simpler and broader options
