Tradify is a trade job-management option rather than a replacement for the accountant’s ledger. Its documented workflow joins quotes, scheduling and invoices. That makes it a useful evaluation candidate when the office is repeatedly retyping details between a diary, quotation document and invoice system. Start with your actual bottleneck: a missing appointment, an unapproved variation, or an invoice that sits unfinished after a service visit. A tidy interface alone does not establish that the full job record survives each handoff. For a large construction project, separately evaluate drawings, subcontractor approvals and contractual reporting rather than assuming a service-job record covers those needs.
Plans and recurring-work boundaries
The US pricing page lists Lite at USD $47 per user per month and Pro at $51. Recurring jobs and costing are among the Pro differences. The advertised 14-day trial includes all features, so record the required paid plan beside every successful test. Ask whether office staff, technicians and temporary users need separate subscriptions. Calculate normal renewal cost rather than a temporary offer. If you need an instant website or card collections, price those separately and confirm the applicable region before comparing totals.
A practical service-job pilot
Use a fictional plumbing call with an initial inspection, a quote for an approved repair and a later return appointment. Create the inquiry, attach a photo and assign the first visit. Have a second office user move the booking while the technician checks the new time on their own device. Build two quotation options, obtain a test acceptance and record which version was authorized. Add an extra item without silently changing the accepted scope. Complete the visit, capture time and produce a draft invoice. Now test the exception: the customer cancels the return visit after a deposit. Ask the vendor to demonstrate the correct record and accounting handoff without sending a real customer message or collecting money. Finally create a recurring maintenance job, noting exactly which paid plan is required. Keep screenshots or notes of the result, not just a verbal yes.
Accounting and mobile questions
QuickBooks Online, Xero, Google Calendar and Stripe are listed connections. Confirm your own accounting edition and country, which records move, who owns tax settings and what happens if the same customer exists twice. Ask how corrections, credit notes and deposits are reconciled after synchronization. Run the technician portion on the phones your crew already uses. Native apps do not establish that every action works offline; test a weak connection and check which changes remain pending. Treat a calendar appointment as different from a confirmed customer promise.
Rollout without losing unfinished work
Before importing a full customer list, clean five representative records and agree naming rules for customers, sites and jobs. Decide who maintains the price list and who may change quoted amounts. Reconcile opening receivables in the accounting package and choose a cutover date for new work. Keep old outstanding invoices accessible until settled. Check how attachments and job history can be exported before committing. A successful pilot should have an office owner, a field owner and a written list of unresolved exceptions, including the time needed to train a temporary replacement.
