Yardbook is landscaping and lawn-care business software with a free Starter plan and paid upgrades. It is worth evaluating when property records, repeat visits, crew routes and billing need to stay together, particularly if you want to test a specialist workflow before taking on a paid subscription.

Start with the properties you service

The official feature directory lists customer and property records, recurring jobs, routes, estimates, invoices, expenses and employee access. Rather than placing every site’s instructions into one customer note, test a customer with two properties, different access details and different services.

Our initial business-size tags focus on solo operators and small crews; these are editorial use cases, not a promise about vendor limits. If you coordinate several managers or large installation projects, require a demonstration of permissions, scheduling conflicts, purchasing and project reporting before assuming a lawn-maintenance workflow will cover them.

Recurring work needs more than repeat appointments

Set up a fictional weekly route and a customer who pays per completed visit, alongside one billed a fixed amount for the period. Move a visit because of weather and skip another. Check how the schedule, completion record and invoice stay consistent. A map view is not proof that routing considers crew capacity, service duration, equipment or your chosen starting depot.

For seasonal work, test changes in frequency, temporary pauses and the next season’s renewal. If you also perform snow removal or chemical applications, test the appropriate records separately; software fields alone do not establish compliance with local requirements.

Understand the free and paid plans

The plan page separates free Starter access from Business and Enterprise. Business adds tools including bulk communications, GPS tracking and invoice reminders. Enterprise adds QuickBooks sync and a branded portal. It also lists Android app access across plans. A free plan is not proof of a free trial of the premium tools, so our trial field stays Unknown.

List the features your office actually needs before comparing subscriptions. Confirm the currency of advertised paid amounts, payment-processing charges, messaging-provider fees, user permissions and cancellation terms. The $0 entry point should not be presented as the total cost of payments, premium communications or accounting integration.

Test the accounting workflow, not the integration name

Yardbook’s CONNECT sync instructions describe refreshing changed records, checking invoices and payments, then starting a sync. Do not assume continuous, automatic two-way synchronization. Have your bookkeeper demonstrate a partial payment, correction and failed transfer using the supported QuickBooks edition.

Ask which system owns customer details, balances and corrections after cutover. Confirm the current status of the integration and the plan needed, then review what can be exported from Yardbook. Payment recording is not the same as a complete bookkeeping or payroll system.

A useful route-and-billing pilot

  1. Create three fictional properties with access notes, service durations and different billing arrangements.
  2. Assign a crew, reorder the route and reschedule the weather-affected visit. Confirm what that crew can see on its phone.
  3. Record completed, skipped and unfinished work. Check that a skipped per-visit service is not quietly billed as completed.
  4. Prepare invoices, record a fictional partial payment and show the accounting handoff without connecting a real payment account.
  5. Export customer, property and billing records. Confirm that another authorized office person can retrieve the history.

Prepare a clean starting season

Deduplicate customers, separate service addresses from billing contacts and choose a consistent service catalog. Import a small sample before a full customer list. Decide where next week’s route and unpaid balances will live from the switch date; keep the old archive available and avoid duplicate reminders.

Check mobile access on the devices your crew already carries. The documented Android app does not establish equal native iPhone functionality or offline behavior. Give a crew member the complete pilot, including a poor-signal visit and later reconnection, rather than relying on a desktop demonstration.

Compare against your actual workload

Compare Jobber and Housecall Pro for a broader service-business workflow. If estimating production costs is the dominant need, include a landscape costing specialist in your research rather than choosing only by the free entry price.
